Purpose of the Position
The purpose of this post is to manage the collection, analysis and sharing of information that is important for colleagues to make informed (evidence based) strategic decisions; and to create an Information management (IM) system that can be used by all CO's and the RO. In addition, this position will be responsible for coordinating and quality-assuring information reporting on UNICEF emergency response while ensuring consistently high quality information products. In close cooperation with the M&E, Programme and Operations Sections and CO teams as well as relevant UNICEF counterparts and partners, the position will support senior management in strengthening programme partnerships with donors and will be responsible for drafting and finalizing donor proposals and reports.
Major duties and responsibilities
1. Reports
- Systematically screen and cross-check (quality assurance) and develop (write, compiling, draft and edit) internal and external reports, situation reports, briefing notes, presentations as well as information and communication material for accuracy and consistency.
- Prepare and systematically update information material (Fact Sheets, FAQs, backgrounders, data tables) in coordination with Country Office's (COs), the Regional Office (RO) and others.
- Participate in meetings as required, including organizing meetings, note taking, reporting on outcomes and following up on actions.
- Create and maintain an information management (IM) system/database that can be utilized by all CO's and the RO.
- Support information gathering and information flow across sections and programmes in the Country Office's and Regional Office.

- Undertake data analysis based on the updated dataset and generate tables, graphs and other statistical data products for quality reporting, resource mobilisation and communication.
- Prepare donor proposals and reports (drafting, compiling, editing and writing) in collaboration with CO's and the RO ensuring that financial reporting is consistent with global UNICEF guidelines.
- Provide oversight, technical support and guidance to UNICEF Country Offices regarding contribution management.
- Improve systems and processes to monitor grants and performance against key indicators related to contribution management. Monitor appropriate use of program funds through ensuring that UNICEF resources are used in line with proposals and agreements.
- Maintain essential contacts with donors and partners and update and maintain information on all the donor and programme proposals and reporting requirements. Ensure that Programme Specialists are updated on proposal requirements and follow up as required.
- High-quality information products (including external and internal reports, situation reports, briefing notes, presentations, communications material, Key Messages, Q&As, Fact Sheets, among others) have been produced.
- An information management (IM) system/database has been established and implemented that it utilized by all CO's and the RO.
- Donor proposals and reports are submitted in a timely, accurate and high quality manner as per donor and UNICEF reporting requirements. All donors receive Certified Financial Statements annually. Resource mobilization and communication documents and reports are produced.
- Advanced university degree, preferably in a relevant field such as geographic sciences, humanitarian affairs, political science, Information Technology, Information Systems, Engineering, or Communications.
- Minimum of 5 years of relevant experience. Experience with either the UN and/or NGO in emergency settings desired.
- Fluency in spoken and written English is required, knowledge of another UN language an asset.
- Strong writing and editing skills including knowledge and experience in writing with demonstrated experience in drafting reports and proposals.
- Strong understanding of logical framework approach and different types of indicators (baseline and output), basic understanding of the project cycle management (especially monitoring and evaluation steps).
- Good understanding of UNICEF's regular and humanitarian programmes.
- Excellent knowledge of MS Excel, Word, PowerPoint and proven technical expertise in managing data capture and storage and presenting information in understandable tables, charts, graphs and reports.
