Organizational Background
The World Food Programme Somalia activities include food assistance for relief, emergency school feeding, humanitarian air and logistics services, food coordination and emergency rehabilitation projects and Cash Based Transfers.
This position is open to qualified Kenyan candidates only. Female candidates in particular, are encouraged to apply.
Duties and Responsibilities
Under the direct supervision of the Logistics Officer (Funds Management) and overall supervision of the Head of Logistics, the incumbent will be responsible for the following:
  • Ensure service providers submit their claims on time, according to WFP Corporate Transport and Logistics Standards;
  • Create and maintain Transport Purchase Orders (TPO) in WFP corporate systems;
  • Create and maintain Service Entry Sheets (SES) in WFP corporate systems;
  • Ensure Logistics Vendors invoices are accurately processed and cleared on time;
  • Ensure that the Logistics charge codes, vendor, quantity and contract rate are recorded accurately in the corporate information systems;
  • Support Logistics budget preparation and provide essential inputs;
  • Ensure monthly, quarterly and yearly financial compliance according to International Public Sector Accounting Standards (IPSAS);
  • Support reconciliation of data in country office and corporate systems to determine validity, ensure accuracy, and make follow-ups accordingly;
  • Collect, compile data and prepare various financial and progress reports;
  • Manage documentation processing for execution of logistics operations and take appropriate actions to resolve bottlenecks and escalate complex issues to the supervisor;
  • Ensure proper filling of invoices, contracts and correspondences related to logistics funds management and invoice processing;
  • Respond to a variety of technical queries/requests from colleagues and other clients;
  • Provide support to logistics operations and activities, following standard processes and facilitate the effective delivery of food assistance to beneficiaries;
  • Perform any other as required.
Minimum Qualifications
Education: Experience: Completion of secondary school education. A post-secondary certificate in logistics, finance or other related functional area is desirable.
Four years of progressively responsible professional experience support experience including at least two years in the field of accounting, transport, insurance, statistics, supply chain management and logistics operations.
Language: Fluency in both oral and written communication in English is a requirement.
Knowledge: Experience using SAP systems and other corporate systems to monitor ongoing shipments, pipeline information, insurance claims, and food stock, analyzing data (on commodities, funds, etc.) and drafting reports. Experience in assisting the preparation of contract documentation is desirable. Knowledge of UN common business principals, processes and guidelines in the related field would be an added advantage.
