The approach to implementation will be primarily working with partners and allies. Oxfam in Tanzania operates out of three office base(s) (Mwanza; Arusha and Dar es Salaam). The Burundian Refugee response also necessitated opening of the field offices in Kibondo.
To achieve this, OXFAM in Tanzania seeks to recruit suitable qualified Candidate to fill in the following position; Warehouse Assistant.
Job Purpose
To provide logistics support for Oxfam programme in Kigoma region, through day to day implementation of activities within the ware housing function of the programme.
Roles & Responsibilities
  1. Stocks
  • Take leadership in coordinating with the procurement team to ensure that there is proper linkage in terms of systems, procedures and material verification as specified in Purchase Orders
  • Focal person in production of Helios generates Goods Received Notes
  • Manage and supervise the warehousing casual/incentive worker and ensure that the responsibilities entrusted to them are delivered according to the required standards.
  • With the support from the Logs Officer ( Warehousing) and in coordination with the logs officer ( Procurement) ensure that all goods delivered are properly referenced and linked to Request Orders and Purchase Orders and are well reflected on all way bill.
  • Ensure that the concerned programme staff are dully informed of all arrivals of goods in stores to ensure quality checks before being off-loaded and planning for usage.
  • Take leadership in ensuring that goods/materials arriving at the warehouse are stored safely/securely and organized in a countable manner as per Oxfam warehousing guidelines and according to specific sector of the programme.
  • Ensure that Standard Operating Procedures are maintained and that good received notes, stock requests and waybills are issued for all materials in their custody and that bin cards are updated promptly and accurately in line with existing projects.
  • Follow up despatches to the field, making assessment on storage needs and periodic monitoring on safety and usage to minimize losses and enhance accountability.
  1. Documentation and Reporting
  • Work closely with logs officer ( Warehousing) to institute proper visibility of warehouse by;
  1. Ensuring that Authorized Stock Requested are produced for stock issued
  2. Ensuring that paper work if filed in an orderly, secure and easily accessible
  3. Carrying out stock verification and update stock records regularly as agreed in the sector
  4. Compiling regular stock reports and stock reconciliation and ensure that discrepancies in stock level are reported to the line manager.
  1. Other Duties
  • Organize the manual loading and unloading of vehicle where necessary
  • Ensure that paper work for casual workers payments are properly verified and signed before submission for payment
  • Ensure that all healthy and safety procedures are understood and followed by all warehouse staff
  • Monitor the security needs/ arrangements of the warehouse and the stock and alert your line manager of any matter arising
  • Keep track of the maintenance requirements of the warehouse building and all equipment’s and alert your manager of any needs arising.
Skills & Competencies
Essential
  • Good knowledge in warehouse management and storekeeping techniques including basic administration.
  • Relevant academic background preferably in warehouse/stock management
  • 3 years’ experience in warehouse management
  • Ability to work independently with minimal supervision
  • Good interpersonal and team working skills
  • Good knowledge of Ms Excel and Word
  • Sympathy to Oxfam values, to be familiar with and abide by the NGO/Red Cross, Code of Conduct, the People in Aid Code, Oxfam International desire.

Desirable
  • Previous experience of working in an INGO environment
  • Knowledge in the use of HELIOS will be an added advantage.
